Compliance

Financial institution regulators and the SEC penalize financial institutions for failing to disclose, retain, or secure various types of information. These failures are not necessarily driven by the desire to deceive. In many instances, financial institutions just had not saved the information or could not find it quickly enough. Financial institutions are realizing that they must improve the way they manage information in order to meet regulator standards and ultimately shareholder expectations.

CIA's Compliance system enables you to quarantine and review messages prior to delivery. Only authorized parties can approve and release a message for delivery. By utilizing CIA's Compliance tool you can decrease risk, and save time in meeting the obligations of agreements and regulations. This is handled in a simple four-step process via the Web:

Step 1

User records a Blast Voice Mail Message.

Step 2

User's message is archived in a secured area on the CIA web-site.

Step 3

The person responsible for approving broadcast messages receives an e-mail notification that a message needs their approval. A link to the CIA web-site is provided.

Step 4

Messages can be reviewed, approved or denied on the CIA web-site.

"Approved Messages" will be blasted out during standard delivery hours, or at a time you designate.

"Denied Messages" will not be released. The person who recorded the message receives an e-mail which states that their message failed Compliance approval and that the sender needs to contact the Supervisory Analyst (SA), or Compliance Officer to discuss the content of the recording.

The Benefits:

  • All Compliance Officers and Supervisory Analysts (SA's) can be tracked according to all messages they approve or deny.
  • The system can generate a historical archive of message approval/denial transactions.
  • If you ever undergo an SEC Regulatory Review, there is accountability to each message regarding which specific person approved it. In addition, you will be in a better position given the fact that CIA is a 3rd party managing the report history.
